Project Status

Project statuses are indicators on the current disposition of a project and are often used for reporting purposes and taking action on projects that may be within a specific part of the overall project life cycle (for example, Budgeting, Development, Closeout, Complete, etc).

To open the Project Status page:

  1. Open the Administration Menu page.

  2. Under the PROJECT ADMIN heading, click Project Statuses.

To add a project status:

  1. In the Project Status field, enter the name of the project status.

    This is the value that will be displayed to users.

  2. Click ADD.

ClosedEdit a Project Status

Once you have created a project status, you can further define it or edit it. To edit a project status:

  1. In the Project Status field, select the project status to edit.

  2. To change the name of the project status, enter a value in the Rename field.

    All historical information will reflect the new value.

  3. To change the display order, enter a value in the Tab Order field.

    The Tab Order indicates the position, in menus, where this value will be listed. Lower numbered values are displayed toward the top of the list. Values will the same tab order will be sorted alphabetically.

  4. To change the status, select a value in the Status field.

    Project status values with a status of Inactive are not displayed to users. However, inactivating a project status does not affect the existing projects that utilize it.

  5. Define the project status Defaults.

    The Defaults are used to specify which application actions will result in a project being assigned this status value. To use this status as a default, select Yes from any of the displayed fields. A single status can be the default status for multiple actions, but each action can have one and only one default status.

    • Default Open Status – Selecting Yes causes the system to assign this status when a new project is created.

    • Waiting Approval Status – Selecting Yes causes the system to assign this status when a user clicks the SEND APPROVAL NOTIFICATION button on a project to create a new approval request.

    • Approved Status – Selecting Yes causes the system to assign this status when a user clicks the APPROVE button on a project that requires approvals.

    • Declined Status – Selecting Yes causes the system to assign this status when a user clicks the DECLINE button on a project that requires approvals.

  6. Define the project status Flags.

    • Closing Status Flag – Setting this flag to Yes indicates that the project is officially closed. You can have multiple statuses with this value, for example, Closed or Complete.

    • In Progress – Setting this flag to Yes enables the WORK COMPLETE button on the Guest Request Details page.

    • Canceled Flag – Setting this flag to Yes indicates that the project is officially cancelled and can be used to exclude cancelled projects from reports.

    • Budgeted Flag – This flag is used to mark a project for inclusion in the Project Budget Summary by Type report.

    • Budget Approved Flag – This flag is used to mark a project for inclusion in the Project Budget Summary by Type report.

  7. Click UPDATE.

ClosedDelete a Project Status

Project status values that have not been used can be deleted from the system.

Project status values that have been associated with a project cannot be deleted, but they can be inactivated to prevent users from accessing them.

To delete a project status:

  1. In the Project Status field, select the value to delete.

  2. Click DELETE.

    A dialog box opens asking you to confirm your choice.

  3. Click OK.
